The service

Staffroom is an AI-assisted tool for primary school teachers that helps with writing school reports and planning lessons. It is operated by Staffroom AI Ltd, a company registered in England and Wales.

We reserve the right to update or change the service at any time. We will give you reasonable notice of significant changes that affect how you use it.

Your account

You must be at least 18 years old to create a Staffroom account. By signing up, you confirm that the information you provide is accurate and that you will keep it up to date.

You are responsible for keeping your login credentials secure. If you suspect your account has been compromised, contact us at hello@staffroom-ai.com immediately.

Each account is for your personal use. You may not share your account with others or use a single account on behalf of multiple people without a school or team plan.

Acceptable use

You may use Staffroom to write school reports, plan lessons, and manage pupil notes for your own teaching purposes. You must not use the service to:

  • Generate content for purposes other than your own professional teaching use
  • Attempt to reverse-engineer, copy, or replicate the service
  • Upload or process any data that you do not have the right to use
  • Interfere with or disrupt the service or its infrastructure
  • Use the service in any way that violates applicable law

Report content generated by Staffroom is produced by AI and should always be reviewed by you before it is shared with parents or entered into your school's records. You remain responsible for the accuracy of any content you publish or submit.

Pupil data

If you enter notes or information about pupils, you are responsible for ensuring you have the right to do so and that it is consistent with your school's data protection policies. We provide technical safeguards including automatic name hashing before AI processing, but you remain the data controller for the pupil information you enter.

Subscription and payment

Staffroom is available on a paid subscription basis with a 14-day free trial. Trial periods do not require a payment method upfront unless otherwise stated at sign-up. After the trial, access continues only if you subscribe.

Subscriptions are billed monthly or annually depending on the plan you choose. Payments are processed by Stripe. You can cancel at any time through your account settings or by contacting us, and your access will continue until the end of your current billing period.

We do not offer refunds for partial billing periods except where required by law.

Intellectual property

The content you enter into Staffroom, including pupil notes and any text you write, remains yours. The report drafts and lesson plans generated by the AI are produced for your use and you are free to edit, adapt, and use them as part of your professional work.

The Staffroom platform, brand, design, and software are owned by Staffroom AI Ltd. Nothing in these terms grants you any rights to use our trademarks or intellectual property beyond what is needed to use the service.

Availability and limitations

We aim to keep Staffroom available at all times, but we cannot guarantee uninterrupted access. We may need to take the service offline for maintenance or updates, and we will try to give advance notice where possible.

AI-generated content can occasionally be inaccurate or unsuitable. You should always review output before using it. Staffroom is a writing assistance tool, not a substitute for your own professional judgement.

Limitation of liability

To the extent permitted by law, Staffroom AI Ltd is not liable for any indirect, incidental, or consequential loss arising from your use of the service. Our total liability to you in any twelve-month period shall not exceed the amount you paid for the service during that period.

Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation.

Termination

You may close your account at any time. We may suspend or close accounts that are in breach of these terms, with or without notice depending on the severity of the breach.

On closure of your account, your data will be deleted within 30 days in accordance with our Privacy Policy.

Governing law

These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
